Process Improvement & Scaling

Creating one shared view across a 300-property operation

Real estate operations · Columbia

CommunicationOwnershipTrackingBudgets

I helped a real estate team move operational work out of private Slack conversations and into shared trackers that made tasks, owners, deadlines, and budgets visible.

300 properties · Shared task and budget visibility
01

The challenge

Important information lived in private messages and three-person chats. The team could not reliably see what was active, who owned it, when it was due, or how much it would cost.

02

My role

I identified the minimum structure the team needed, clarified where different kinds of communication belonged, and built connected spreadsheets around their real workflow.

03

What I did

  • Defined clearer communication rules for Slack
  • Built task trackers with named owners and deadlines
  • Created shared status and budget views
  • Connected property-level information to active work
  • Designed the system to remain flexible for future team members
04

What changed

  • One shared operational picture
  • Clearer accountability across active work
  • Better visibility into deadlines and budgets
  • Less context trapped in private conversations

The problem was not that the team needed more messages. They needed a shared place where commitments remained visible after the conversation ended.
